Custom business systems
Area: Software Systems & Business Solutions · Usual shape: an internal multi-user system · Access: browser, and phone where it is needed
Most companies are not short of software; they are short of software that matches how they work. The gap gets filled with side files, calls and messages until those become the system. We build the software that matches your procedure as it is — or as it should be once we have looked at it together — so the record is single, the permission is explicit, and the report is a result rather than a job.

What this solves
- Every department keeps its own copy and nobody knows which one is right.
- Approvals happen verbally, so nothing is left to point at when they are questioned.
- A new employee needs weeks to learn a procedure that lives in one person’s head.
- The monthly report is assembled by hand, arrives late, and does not reconcile.
What we build
- The data model: what gets recorded, in what relationship, and what must never be duplicated.
- Business rules written into the system rather than into people’s heads.
- Roles and permissions, down to field level where that is required.
- Workflow and approvals, with a complete record of who did what and when.
- The daily operational screens: fast search, short entry, lists that filter usefully.
- Reports built from the same data rather than assembled by hand.
- Multiple branches and users, behaving consistently under real concurrency.
- Handover, training and documentation, so the system does not stay dependent on us.
Where it is used
- A company whose work crosses departments that pass requests and approvals between them.
- A business with a procedure no off-the-shelf product matches without abandoning it.
- An organisation that needs a documented trail behind every decision.
- A company that has grown until coordinating by message is slower than the work.
What this does not include
- It is not a licensed product, and it is not a copy of a known enterprise resource planning system.
- We do not provide accounting certification or sign-off on tax or regulatory compliance.
- Payroll as a legally regulated service is outside what we offer.
- We do not undertake that the system will be accepted by any particular government or regulatory body.
- Migrating data out of an existing system is work in its own right and has its own page.
How the work goes
- We sit with the people who do the work, not only the people who describe it — the gap between the two is half the project.
- We map the procedure as it is, and point out what is worth simplifying before it gets built as-is.
- We build the part that hurts most first and put it in front of users early.
- We extend in stages, each usable on its own rather than a step toward a final version.

Questions about this service
Why build a system instead of buying a product?
Sometimes you should not. If a product covers most of your work without distorting your procedure, it is the cheaper option and we will say so. Custom is worth it when the procedure itself is your advantage, or when giving it up costs more than building.
How long does it take?
It depends on the number of procedures, roles and reports, not on the size of the company. We settle it after a discovery session and write it into the scope. A figure given before that would not be an honest one.
Can we start small?
Yes, and we prefer it. One part that works well and actually gets used beats a complete system delivered all at once and resisted.
Who can change the rules later?
What changes often is made configurable inside the system; what changes rarely stays in the code. That decision is made rule by rule, because making everything configurable produces a system nobody understands.
What happens if we stop working together?
The code and the data are yours, and documentation is handed over with the system. We build so another engineer can read it — a standard we measure, not an intention we announce.
